Fax Servers

Back in the 20th Century. . .

Back in the old days, buying a fax machine was a procurement nightmare. We had to learn all the fax lingo--cover sheets, broadcasts, thermal paper, etc. Then we had to learn how to use the fax machine: reload the paper, print confirmations, and enter the most common numbers.

Remember there was a time when we reached a "critical mass" of "fax penetration," when more customers and suppliers had fax machines than did NOT have fax machines? That was when we all had to set up a system for routing all those incoming faxes to the appropriate personnel in our office. And we started posting lists of fax numbers next to the fax machine. And we had to redo all our business cards to add the fax number!

Nowadays, if you don’t know how to use your company fax machine, you wait until everybody leaves to figure it out. Right?

And some of us have even become sophisticated "faxers" . . . timing when we go to the fax machine to avoid the lines, sending long distance faxes when the rates are lower, or even planning a second activity to work on while we are waiting for the fax to go through--especially if there is a busy signal! We even know how to turn the confirmation page off unless we really need verification that the fax went through.

Right?

Enter the next millennium!
Wouldn’t you know it! Now that you’ve become a "facsimile guru extraordinaire", the rules have changed! For a reasonable price, your local area network can be configured to make faxing easier, more productive, and much less frustrating. This is accomplished by installing a "fax server" on your network.

What is a fax server?
Your network service provider can install software and hardware on your local area network that will allow everybody to fax from their computer workstation, using one phone line connected to one computer that is accessed through the network. When designed right, a fax server will perform all the tasks normally associated with faxing documents, right from your computer workstation, at a lower cost! Plus, since fax servers are software based and can therefore be made more "user friendly," more people will be able to use the advanced fax features . . . from scheduling a broadcast fax to start at night to routing incoming faxes to their appropriate recipients. At a lower cost!

A well-designed fax server will not only help a small business reduce costs, but also improve customer service and expand marketing opportunities. There are many ways a fax server can help your company:

bulletOver 90% of faxes originate on your computer! With a well-designed fax server, you send faxes from your computer workstation, at the click of a button, instead of having to print the document, carry it to the fax machine, stand in line, and wait to insure the fax went through. Furthermore, with a fax server dialog box and thorough training, it is very easy to schedule fax transmissions during cheaper, off-peak hours of the day.
bulletOver 50% of incoming faxes are thrown away: Deploying a well-designed fax server means that faxes are printed only when you choose to keep a hard copy. (Think about it, how many times have you thrown away an unwanted fax just this week?) We achieve this by automatically converting faxes to email messages. Meanwhile, duplication costs are eliminated when you want to share a fax with associates . . . you just e-mail it to them!
bulletRetrievable Information is Usable Information: Because faxes are automatically converted to e-mail, it is easy to store them as retrievable information on your intranet. Compare the time it takes to search through your file cabinets for an old fax versus the time it would take to perform a keyword search.
bulletHow many times have you called a company to ask for their fax number? With a fax server, fax numbers can be stored easily, in one location, each time you send a new fax. When your co-worker enters a number into the fax software, it’s available to you as well!
bulletAutomated Routing: Using many different techniques, faxes can be automatically routed to the recipient as soon as they come in. For example, the first page of each fax can be scanned for the name, department, etc. of each of your employees, and then routed accordingly. This insures timely delivery of information, not to mention increased productivity.
bulletQueued Faxing: Your fax server will keep trying to send a fax until it goes through. No longer do you have to resend faxes because of busy signals! You can configure the server to send you an e-mail message when a fax has NOT gone through.

Types of Fax Servers:
There are several different kinds of fax servers available, varying in both feature strength and expense. Your network service provider usually has a favorite fax server package that they sell. We’d be happy to consult with you regarding their recommendation, and if necessary help find the fax server configuration which best fits into your overall Information Technology Plan.
